🧑‍💻 Transport Creation & Scheduler

Tips for transport creation:

  • Do you need to place multiple trucks on a site? Use mass duplication

  • Billing by the hour or day? Create transports in Rental

  • Conducting regular transports? Use transport templates

  • Do your drivers create their own missions from the mobile app? Share with them the training article/video

  • Doing transports in Rotations? Properly configure your transports from the start (see below), by checking "Rounds" in the "Load" tab

  • Does your destination send you a general goods order that will be managed over multiple transports? Use the tracking files to monitor the execution of an order.

Scheduler:

Use tags to identify the vehicle type needed for your transports and classify your resources by type to quickly see what's available.

To organize your scheduler view, you can create multiple views based on vehicle types (semi, truck, etc.). Everything is detailed in our dedicated article on the scheduler.


From your order well, you can group your transport orders by shipper name, to easily find all the trucks to be placed by destination

📑 Control and Billing: Invoice from D+1 and Improve Cash Flow

Price Management:

In Dashdoc, you have several variables for billing:

  • by tonnage (Loaded/Unloaded Weight)

  • by the hour (Rental/Agency)

  • per trip (Number of rounds made on rotation transports)

Pre-billing Control:

  • Control Badges in completed transports allow you to quickly check your information (weight to verify, reservations, prices, documents...)

  • Automatic Reading of Weight Tickets: if a weight ticket has been added to your transport, Dashdoc will compare the ticket with the weight added by the driver. This prevents entry errors and ensures billing at the correct rate. You can highlight transports with discrepancies using the "weight to verify" badge:

  • Use the control assistance dropdown menu to quickly validate pre-billings sent by your clients: select the desired transport operations and easily get information on the total and average price, quantities, type of goods...

  • Use the custom views to assist you in your billing control. This allows you to check in real time what remains to be verified and billed

    • A "M-1 to verify" view with the completed transport operations from last month

    • A "M-1 to bill" view with the verified transport operations from last month

Billing:

  • Add your project or purchase order numbers as references in your transport orders to find all transports to be billed by project.

  • Create destination notes and associate tags for quick access to your customer specifications (notes visible on price and draft invoices).

    • Ex: Destination A to be billed based on loaded/unloaded weight

    • Ex: Due date at 45 days

  • Create invoice templates to meet the specific demands of your customers (references, weight, dates, goods...)

  • Easily share invoice documents with your clients. Merge your documents into a single PDF (invoices, weight tickets, photos...) to meet your clients' needs:

  • Create customized invoice exports:

    • Ex: Tonnage verification export (Invoice number, quantity, unit price, total)

      Track your billing month live with customized reports

      • View your current month, draft invoices, invoiced, paid, the segmentation of your activity (billing products)

      • Create views to focus on your different activities

    💼 Business Management:

Reports:

To track your company's CH, we suggest going to your Billing report, which presents the most up-to-date figures on the actual invoiced amount.

If you wish to see the invoiced and upcoming CH, you can refer to the "General" Report where you can use filters to configure what makes the most sense for your analysis.

🖥️ Features or Integrations of Interest

Connect your Telematics to your Dashdoc TMS to retrieve the actual kilometers traveled per transport.

This allows you to bill accurately if you use distance as a billing variable.
