Overview and general settings :

The Dashdoc scheduler is split into two functions: the order pit (on the left of your screen) and the schedule (on the right).

The command well lists all shipments that are neither planned nor completed. It contains archived shipments, but not deleted or cancelled shipments.

The schedule and order tree can be adjusted to suit your activity and working environment. You can choose the width of each section, to give you an overall view of your control panel and schedule. You can also fold down the side menu panel.

💡 If you have several screens, you can extend the window across several screens and adjust the width of the control well.

You have access to two types of schedule display:

  • Daily scheduler

  • Hourly scheduler

Planning elements and their parameters

From planning to execution

  1. Dashdoc's pool

Manage the display of your columns

Display the relevant information with the cogwheel to the right of the last column of your order well and customise the order in which the items are displayed.

Example : need to see the requested vehicle and linear footage in the first columns? Select them and reposition them at the top of the list.

Classifying your order well

From the cogwheel in your order well (see above), you can group the shipments in your order well according to criteria (customers, dates, etc.):

Once this grouping is done, you can sort each subgroup again according to your different columns.

Example: I have sorted my order well according to my principals. I then want my shipments to be displayed in chronological order for each customer .

Use the filters to find the orders you want to plan:

The filters are located in the funnel, click on them and select the data you are interested in.

  • to help you easily identify the transport services in your area.

  • Addresses for your pick-up and delivery sites

  • The postcodes or countries to identify your partners' different sites

  • Shippers to find your transport

💡 You can also use the search bar by clicking on the magnifying glass

Filters appear online in a blue badge. To delete filters, click on the cross or the eraser.

Creates views of your unplanned pool for automatic retrieval:

To save time, you can save the filters you use so you don't have to re-enter them.

Make your filter

Click on the floppy disk at the end of the line

Find your views on the eye

-> You can delete the saved view by clicking on the trash can

💡 You can delete the saved view by clicking on the small dustbin

2. Dashdoc's scheduler

Display important information :

Choose the information to be displayed on the planning cards via the wheel at the top right and clicks on Cards:

  • Name of the client

  • Activities to be carried out

  • Resources

  • Dispatch notes

  • Tags

Focus on tags:

The tags, which correspond to your operating criteria, enable you to filter and zoom in on a perimeter to make it easier to manage.

You can display them in your schedule and set their colors:

Creates views of your scheduler :

Need a quick overview of what you're interested in on the schedule? It's possible thanks to customised views that are just a click away!

Dashdoc offers you 4 default views:

  • Driver

  • Vehicle

  • Trailer

  • Charter

To create custom views, click on the little cogwheel at the top of your schedule, then on "General > Add a view". You can then select different information:

The type of resources: These are displayed in columns in your schedule, giving you a view by: driver, charter, vehicle, trailer and chartered driver and carrier.

Display: you can select all the resources in your company or make a selection by label or manually. Labels allow you to work on a specific segment of the business

💡 You can mix your own drivers and your chartered carriers on a single view with the "Drivers and Charters" resource type.

Save your view and find it at the top left of your schedule:

💡 You can delete the saved view by clicking on the small dustbin

Use the planning filters below the view name, in the top left-hand corner of the planning section, to find your resources easily. The filters are linked to the view you are using. You can filter on data that has already been set up in the view.

Use the eraser to delete filters.

💡You can use simultaneously the order well views and the planning views to :

⏱️ Save time in your planning.

🖥 Quickly visualise what you need.

🔧 Customise the way you view your data.

Use the extended view to share the schedule with your other entities

See the dedicated article here.

Add unavailabilities and driver/plate associations with a simple right-click

Add unavailability for a driver/vehicle or trailer

It is also possible to add an absence directly from the schedule, by right-clicking on a driver's line:

  • Create, add or delete a driver, vehicle and trailer association

Do your drivers have dedicated vehicles? Save operating time by creating associated resources. Choose a driver, his plates will automatically be put in the transport and when you drag and drop a mission on the schedule, the association will automatically be displayed in the transport.

To create your association:

Right-click on the driver concerned.

Click on "Define associated resources".

Assign the tractor and/or trailer plate and save.

The association appears in the planning column below the resource.

You can also create your own associations from my fleet, please consult the dedicated article.

Please note:

  • Associations are available for your own fleet only.

  • They will not be offered on transports with load breaks.

  • If you plan without using drag & drop and schedule a truck that is part of an association, but then change your mind and place another truck, the plates from the first association remain, and you have to change them manually.

Add a note to the schedule

Need to add an appointment? Pass on information to your team? Add a note to your schedule.

Right-click on the trucker

Add a note

Enter date, time and reason

Save

The note appears on the schedule for the desired trucker, day and time.

2. Plan with the scheduler

Once you have set up your schedule and order wells, plan and send your assignments to the drivers.

Drag and drop

To assign a transport, use the drag and drop : click and hold the transport, and move it to the driver or vehicle. Complete the assignment by clicking on the transport.

You can also open the transport and assign it from "means" and then "plan or subcontract".

Set planned hours

From the creation form of a transport, or from the transport details, you can add requested times for loading and delivery. These times will automatically be taken into account as scheduled times as soon as you place your transport on the scheduler.

These times will be sent to the driver's mobile app. If you want to give a specific time to the driver, you can specify it by adding it to the planned times.

You can order as you wish, several transports on the scheduler within the same day.

The trucker will receive the transports in the same order on his app.

The hours will turn red on the scheduler if you order the transports and there is an inconsistency in the scheduler, but this will not prevent you from sending them to the trucker.

Manage breaks and multi-points

  • When an order has multiple loading points or multiple delivery points, it appears as a single row in the unplanned pool. Display the "number of activities" column to easily see how many sites are served.

  • Each activity has a different symbol. For loads and deliveries, these are arrows:

  • If several truckers will be doing this mission, open the transport and create a break.

  • Missions with break appear in 2 parts:

    • Pick-up -> break

    • Resumption -> delivery

  • Display the "final destination" column to identify the segments you are planning:

  • For break, the symbol is a house:

The operation is the same from the vehicle view.

Send the orders to the truckers

A benefit of Dashdoc scheduler is that that you can choose when you want to send the orders to the truckers.

This allows you to modify your planning along the day, without the truckers receiving a notification for each change.

To do this, uncheck the "send to trucker" box when you first assign an order:

All following transports will be unchecked, even if you use "drag and drop".

Once the day is validated, click on the right of the day's date:

If the calendar is green, all the missions have been sent :

Follow transport progress

Follow the progress directly from the scheduler: you can detect alerts on late transports, not yet started ...

The colours will evolve as drivers validate the missions on the mobile application, or the charters on the application or the portal.

💡NB: Once the transports are achieved by the drivers, they are displayed on the actual days and times (days and times of the drivers' clocking).

The legend is displayed when the "i" is hovered over:

The turnover

This view allows you to see at a glance the turnover achieved by a driver over a given period.

  • Turnover is calculated according to the period displayed on the scheduler.

  • TO = invoice price - purchase costs

  • To avoid cumulating the TO of a single shipment, we take the price of the shipment on the day it begins operations.

  • TO is divided according to the distance travelled per kilometer.

For example, for an A→B transport with break: (A → break: 100km, pickup → B: 200km), the first driver will have 33% of the TO and the second 67%.

Open the transport details

Click (single click) on a transport from the planning or the unplanned pool: the details will open in a window on the right. From this window, change the desired elements, as from the transport view.

You can change addresses, driver assignment, plates and specify a time slot (day and time) for loading and delivery...
