❓What is a purchase cost in Dashdoc❓

These are expenses related to the purchase of goods or logistics costs. These costs are often included in the selling price to the customer. For these costs, you may receive supplier invoices that you need to check and link to the transport file.

e.g. tolls, purchase of merchandise, traction costs...

You can use them to compare driver sales effectively, by deducting purchase costs from the transport selling price.

Purchase costs use cases

To illustrate the purchase cost system in Dashdoc, here are two examples:

  • Transport A performed by driver #1 :

    • 300T of sand transported

    • selling price of transport is 6€/T

    • sales = 1,800€

    • On the other hand, the quarry has sold you the sand at 3€/T, so your cost of purchase is 900€.

  • Transport B performed by driver #2:

    • 300T of soil transported

    • selling price of transport is 3.5€/T

    • sales = 1050€

    • you don't buy the soil, so there's no purchase cost

As an operator, to compare driver sales, you need to deduct purchase costs from the selling price.

Transport A with driver #1 = selling price 1800€ - purchase costs: 900€ = turnover: 900€

Transport B with driver #2 = selling price 1050€ - no purchase costs = turnover: 1050€


Add a purchase cost to a transport

The purchase cost(s) can be added at any time during the shipment, whether or not the shipment has begun.

On each shipment where you are a carrier, you can add one or more purchase costs. Each cost line is made up of the following data:

  • description

  • calculation variable (loaded weight, flat rate, duration in hours, etc.)

  • unit cost

  • quantity

  • total cost (€)

To add a purchase cost line, go to the relevant shipment.

Next to the field for adding sales prices, you can click on the purchase cost tab.

By clicking in the purchase cost modification area, you can add a purchase cost with the blue "add a purchase cost" button.

The purchase cost variables (loaded/unloaded weight, duration in hours, etc.) work in the same way as the sales price. Thus, the quantity taken into account to calculate the price can be correlated to the quantity indicated in the merchandise. To find out more about the specifics of price calculation, 👉 click here

You can add as many purchase lines as you like.


Purchase costs confidentiality

Purchase costs are exclusively available to the carrier on shipments and exports.

They are not visible to the client.


Using purchase costs

Easy entry :

  • 💡When you add a purchase cost, the notion of catalog appears. At present, it is not possible to add a purchase cost catalog yourself.

    However, you can ask your Dashdoc contact to help you add this catalog to your Dashdoc account.

Analyze your purchase costs:

  • Purchase costs have an impact on the overall sales of the transport concerned, so the sales shown in the schedule and in the reports will be affected.

Transport sales = selling price - purchase costs

Please note that purchase costs have no impact on the margin in Dashdoc, as the margin only concerns subcontracting.

  • In the list of transports, you can display the total purchase cost and the unit purchase cost; use the cogwheel to select the relevant columns
