How to export data (documents, prices, weights, etc.)

Recover your transport data to take your business management to the next level

Export with Dashoc 🚀

  • Go further in managing your business (e.g. export data to calculate your waiting times, turnover, margins, observations, ...)

  • Save time-sharing/retrieving documents

  • Invite your partners so that they can export documents and information independently

Filter and select transports for export

You can select one or more transports by using the filters or by ticking the boxes to the left of the line.

💫 To select all transports (after using the filters, for example), tick the box at the top left of the table, then click on the underlined sentence at the top of the table:

Export the desired information:

Once the transports have been selected, click on the "More actions" button, then "Export".

You can choose between 3 standard exports or the creation of customized exports.

The 3 standard exports enable you to meet different needs:

  • "Pick-up / delivery" export: access operational data linked to pick-ups / deliveries

  • Export "PDF Documents": retrieve a set of documents in a single click

  • Export "Transport + price" or "Charter + price": monitor profitability (sales, margins, charter prices, etc.) and access operational data linked to transport (without details per pickup/delivery)

You can select the columns to be displayed, reorder them in the desired order and save standard templates for reuse at the next opportunity! 🚀

1 - "Pick-up / delivery" export

You'll find a multitude of columns in your export (details at the bottom of the article). Each line corresponds to a pickup/delivery. For example, a transport with 2 delivery addresses will have 2 lines in the file.

💡 This export can enable you to go further in the operational analysis of your missions, for example:

  • Time on site / driver

  • Weights loaded / delivered per site

  • Associated reserves

  • ...

NB: if you want to calculate your turnover, use the "Transport + prices" export to get a consolidated view by transport rather than by activity.

2 - "PDF Documents" export

This option allows you to export all the documents for previously selected transports.

💡 Document export can simplify your life when saving transport documents en masse or sharing them with a third party (e.g. your customer).

  1. Select "Documents"

  2. Select the documents you wish to export

  3. Click on "Export". You can choose to download the file directly to your computer or send it by e-mail

  4. A ZIP folder with all selected documents is downloaded or sent to the selected e-mail address.

3 - Export "Transport + price" or "Charter + price" - Drive your profitability! 🚀

💡 This export enables you to monitor your profitability, calculate your sales, see your margin on subcontracted transports, track the status of transport control, its billing date...

Transport + price :

This export will give you two tabs:

  • A first tab with one line per transport, including both operational and pricing data.

    • easily manage your sales and margins, as well as all operational data at the global transport level (CO2, total weight, etc.).

  • A second tab with detailed price lines for each shipment (one line per shipment price line)

    • e.g.: filter on "transport" or "fuel surcharge" products to find sales by product type.

☝️ You can export "transports + prices" from the "Transport" tab of your TMS or from the general view (search bar at the top of your TMS > "see all transports and charters").

Charter + price :

👀 If you are in the "Charter" tab, Dashdoc will offer you the "Charter + price" export containing details of the price agreed/invoiced by the carrier and the final ordering party price, as well as other information.

Here again, two tabs are available:

  • a first tab with one line per charter

  • a second tab with details of each charter's price lines

4 - Customizable exports that can be saved 🎨

🆕 You can create custom exports by selecting the columns you want to appear and changing their order!

To do this

  1. Name your export template (which will be saved in the list of custom exports)

  2. Select the export delivery method (download or e-mail)

  3. Select the type of export you wish to have:

    1. Pick-up / delivery: you'll get an export with one line per pick-up / delivery

    2. Transport + price: You'll get 2 tabs in the export:

      1. Tab 1: the desired columns with one line per shipment (with total shipment price)

      2. Tab 2: the desired columns with one line per price line. Ex: I have in my shipment "A" 2 price lines (fixed cost of shipment + fuel surcharge), so I will have two export lines for this shipment.

    3. Charter + price: same as transport + price, but for charters.

  4. Select the columns you want, and the selection will appear in the right-hand column.

  5. Rearrange the columns in the order of your preference.

  6. Click on "Export and save", and you'll find this template in the list of customized exports.

Share export with a partner

✉️ You can choose to send the elements to be exported by e-mail to a third party.

☝️ Don't forget that to save even more time, you can invite your partners to Dashdoc so that they can consult and export documents independently.
