Create a purchase invoice with AI

Import your carrier's PDF. Dashdoc generates invoices, identifies subcontracted orders, and alerts you to discrepancies.

ℹ️ In brief

With “AI-Assisted”, you import the carrier's PDF invoice. Dashdoc creates the purchase invoice, fills in some of the information, and matches the orders. You just need to verify.

Before you start

⚠️ Things to know before importing an invoice

  • You can point to an order or add it to a purchase invoice only if you are the order giver for this transport.

  • If your carrier invoices via Dashdoc (or through a connected tool like Pennylane or Billit), they provide the invoice number. It then automatically appears on your platform and you cannot modify it.As long as this number is not provided, the AI cannot link the order to your purchase invoice.

Step 1: Import the PDF

In Purchase Invoicing

  1. Click on “AI Assisted”.

  2. Select the carrier's invoice PDF.

  3. Wait for the file reading to complete.

Step 2: Verify Detected Information

When found, Dashdoc fills in:

  • the invoice number,

  • the issuing company (from the VAT number or SIRET),

  • the due date.

  1. Check each field.

  2. Enter the total amount. It is not filled in automatically because the AI cannot guess the VAT rate.

Step 3: Check Close Subcontracted Orders

Dashdoc finds the subcontracted orders using the transport number indicated on the invoice. If there isn't one, it uses the price, dates, and locations.

  1. Check the list.

  2. Manually add a missing charter. The list is already filtered on the issuing carrier.

Step 4: Handle Alerts

An alert is displayed if:

  • The invoice number, issuer, total amount, billing date, or due date is missing,

  • The total invoice amount differs from the net total of the charters,

  • The invoice mentions more charters than the list.

⛔ What is not possible

  • Automatically reconcile a charter older than 3 months. Alternative: add it manually.

  • Automatically fill in the total amount. Alternative: enter it from the PDF.

Not working?

“No chartering found”

  • Cause: The issuer was not detected or was detected incorrectly, or the charterings are more than 3 months old.

  • Solution: Correct the issuing company, then restart the reconciliation. For an older chartering, add it manually.

“A chartering does not appear in the reconciliation”

  • Cause: One of these situations.

    • Your carrier invoices via Dashdoc and has not yet provided their invoice number.

    • They provided a different number than the imported invoice.

  • Solution: Wait for the carrier to provide their invoice number, or verify the invoice number with them.
