How can I manage several legal entities within a single Dashdoc account?

With the “multi-entity” feature, share your resources between your different agencies, while respecting legal constraints.

Do you want to manage your various legal entities in a uniform way? Would you like to be able to optimise all your resources (drivers, equipment) rather than divide them up by subsidiary or agency? Select your view in the planning tool.

Administering my entities and users

You can use your group account to manage your entities and users.

Managing entities :

To add an entity, go to the group view and choose Entities > Add an entity from the menu.

To modify an existing entity, go to its entity view, and go to Settings > Company.

User management :

To add or modify a user at group level, select the Users menu. Click on the "Invite a user" button, or click on a name to modify it.

The following roles are available:

Administrator: has access to all functions, including payment and settings, for the entities to which he/she has access.

User: can create and modify documents and invite drivers, but does not have access to settings.

Read-only: has access to consignment notes and the directory but cannot modify or create documents.

Group administrator - Multi-entity specific: has access to the group view, entity and user management.

To invite a user to access one or more entities in the group, without them having access to the group view, you can add them individually to each entity's account (Settings > Team menu).

💡 For multi-entity accounts, a profile will have the same role for all the entities to which it has access.

Change entity

Click on the entity name at the top left to switch from one entity to another (purple house icon), or access the group view (blue building icon).

Using multi-entity planning

Human and material resources can easily be shared from one entity to another, with a choice of cross-functional or individual view of the schedule, while complying with legal obligations to mention them on consignment notes.

From the scheduler, you need to create a view with the "extended view" option activated:

  • Click on the small cogwheel in the top right-hand corner:

  • Create your view and activate the extended view option :

  • Select your view in the scheduler :

  • the order well contains the orders for all your entities

  • and the schedule allows you to view all the group's resources (drivers or vehicles)

You can now assign an order from entity A to a resource from entity B! In this case, entity A will invoice the shipment, but entity B will appear as the carrier on the consignment note.

Managing my address book

The address book is shared by all entities. By creating a partner in one entity's address book, it will be available to all other entities.

Manage my resources

Each driver or vehicle must be managed via the "My fleet" menu of the entity to which it belongs.

These resources can then be used by the other entities in the group via the schedule (see How do I use the multi-entity schedule? above).
