šŸš› How to create a driver ?

  1. Go to ā€˜My Fleet’ then ā€˜My Drivers’ then click on ā€˜Invite a new driver’.

  2. You can create 3 types of driver:

    1. Own trucker: the driver is part of your own fleet and the eCMR will be in your name.

    2. Dedicated driver: the driver, employed by another driver, carries out the transport work you entrust to him directly. A charter confirmation will be generated and the eCMR will be in the carrier's name.

    3. Rented driver: the driver, employed by another carrier, carries out the transport on your behalf, generally under a rental contract between you and the carrier.

  3. Enter the details of the new driver.

    1. You can complete the fields concerning :

      1. training

      2. regulatory obligations

      3. driver absences (to find out more, click here šŸ‘ˆ)

  4. Click on ā€˜Save’.

  5. Click on ā€˜Send by SMS’ to send him the link to download the application and his driver code.

šŸ“… Driver deadlines

Once you have filled in your drivers' deadlines (driving licence, driver card, medical check-up, qualification card, etc.), Dashdoc automatically sends a reminder email on the 1st of each month listing everything that has already expired and everything that is due within the next 3 months. If there is no deadline to report, no email is sent that month.

Choose who receives the reminders

You can now choose who receives each reminder, with a separate recipient list for Drivers, Tractors and Trailers. This means you can, for example, send driver deadlines to HR and vehicle technical inspections to the workshop manager, without having to make everyone an account administrator.

āš™ļø Go to Settings > Emails > Driver and equipment deadlines.

Click on the "Recipient emails" field of a category to edit it, add or remove addresses, then click "Save". Any valid email address works: it does not have to belong to a Dashdoc user (the field simply suggests the emails of your company’s users as you type).

Good to know

  • If a category’s list is left empty, the reminders are automatically sent to the company administrators.

  • Group administrators no longer receive driver deadline reminders by default: recipients are managed per carrier company. For someone at group level to be notified, add their address to the "Drivers" list of each company concerned.

  • You can resend the email immediately using "Resend email", without waiting for the 1st of the month.

  • The automatic sending frequency (the 1st of each month) cannot be configured.

Track deadlines directly in the driver list

Above the "Drivers" table, quick filters appear in red for anything that has expired (and in orange for anything expiring within 30 days), and the counter in the "Drivers and equipment" menu (in the left-hand menu) reflects the total left to handle.

Export the list of expired deadlines

The "Export the list of expired drivers and equipment" button, at the top of the settings page, generates a CSV file with one line per deadline (category, label, date, expired or not) — handy for going through them each month without waiting for the email.

šŸ’” Example use cases

  • Send driver licence / medical check-up deadlines to HR, and leave vehicle technical inspections to the workshop manager.

  • Stop bothering an administrator account (accounting, for example) that needs the role but is not concerned by deadlines.

  • Notify a fleet manager who is not an account administrator.

If the driver has not received this code, you can provide it yourself.

šŸ‘‰ Retrieve it from the ā€œMy driversā€ tab, on the same line as his details, in the ā€œInvitation codeā€ column.

Don't forget to delete your drivers when they are no longer part of your workforce. To do so, select the driver using the square box at the end of the line and then click on the ā€œDeleteā€ button at the top right.

You have more drivers than vehicles ? Your drivers can now log in with a fixed password on any Dashdoc application. We've implemented a feature that allows drivers to log in with a perpetual password.

Drivers log into the Dashdoc app on any terminal. Every two hours of inactivity, they must confirm that they want to remain logged in on the same driver profile.

🚮 I would like to disable a driver who no longer works for my company ?

  1. Go to My Fleet > My drivers

  2. Click on the driver you wish to deactivate

  3. Click on "More actions

  4. Deactivate the driver (not delete)

āœ”ļø The driver is automatically disconnected from his mobile application

āœ”ļø You can continue to see the driver's transport history if you search for him through the filters.

To reactivate the driver, simply follow the same procedure:

  1. Go to My Fleet > My drivers

  2. Click on the driver you wish to deactivate

  3. Click on "More actions

  4. Activate the driver

āš ļø Deleting the driver will also disconnect him from his mobile application, but you won't be able to retrieve the driver's history using Dashdoc filters.
