Set up your fleet

1. How to create your vehicle fleet?

Import your vehicles

1- Fill in one of the templates below with your vehicle details (vehicles- trailers): Equipment Impport .xlsx

Required columns:

  • Column A, License plate

  • Column I, Equipment type : you must choose between “Vehicle” or “Trailer”

  • Column D, only if you transport IDTF goods: you must qualify the vehicles used by indicating “yes or no.” You must first activate the feature. For more information on this subject, please refer to this article

NB:

- Dates must be in one of the following two formats:

  • YYYY-MM-DD

  • MM-DD-YYYY

2- Once the file is complete, go to “Drivers and Equipment” -> “Equipment.”

3- Click on “Upload.”

4- You must match the fields on the left with the fields on the right.

5- Once all fields have been matched, click “Confirm.”

6- Click on “Import complete” then “Import row.”

Your vehicles are integrated into your account

Manually create your drivers

Click on " Driver ans Equipment", then "Equipment" and click on New.

Choose between vehicle and trailer, and complete at least the license plate.

2. Delete vehicle

To delete a vehicle, open vehicle page and click on the "delete" icon:

Delete a vehicle does not delete the transports done with it. These will still be visible on your interface.

3. Can I disable a vehicle?

It's not possible to disable a vehicle. To indicate that a vehicle is unavailable for a short or long period of time, simply go to the page for the vehicle in question and click on “Add unavailability.” You can then specify the type of unavailability and the period of time.

4- Deadlines

Features:

They give you information on the CO2 consumption of your transports. To find out more, read our article here.

Deadlines:

After completing your deadlines on your vehicles, the Dashdoc account administrator will receive an email on the first day of each month with the upcoming deadlines for the next 2 months.

This way, you can plan your visits to garages and the unavailability of your vehicles.

How to display vehicle inspections and maintenance on the schedule?

To display vehicle-related events (inspection, MOT, maintenance) on the schedule without creating a complete transport, you can use the “Notes” feature.

How to proceed:

1. Right-click on the schedule and select “Add a note.”

2. Enter the details (e.g., “Mines inspections”).

3. Set the date and time.

4. The note will appear on the schedule.

Important to remember:

  • Notes are only visible to operators on the web schedule.

  • They are not sent to drivers on the mobile app.

  • They are not assignments per se.

  • Ideal for maintenance reminders, technical inspections, or other vehicle-related events.

5- Create trucker & plate combinations:

Save time assigning your transports by creating trucker & plate combinations.

You can create driver & plate associations from Drivers and Equipment” -, either from "Drivers" or "Equipment".

Click on the vehicle or trucker concerned, then on Linked Means and add means combinaison.

The association appears in the Linked means column.

The association works from :

  • from the transport creation form: when you assign a driver or a vehicle, the information is filled in automatically and symbolized by a lightning bolt.

  • or scheduler :On the scheduler, association appears below the trucker's name

When you drag transport from the unplanned transport pool to be planned to the schedule, the association with the plates is made automatically.

Combinations also work with the extended planning view

Please note:

  • Associations are available for your own fleet only.

  • They will not be offered on transports with load breaks.

  • If you plan without using drag & drop and schedule a truck that is part of an association, but then change your mind and place another truck, the plates from the first association remain, and you have to change them manually.

6- Export my fleet (vehicles and trailers) to Excel

You can export your complete list of vehicles and trailers in Excel format to analyze your fleet data, create reports, or keep records.

Export procedure

  1. Go to “Drivers ans Equipment ” and click on “Equipment.”

  2. Select the vehicles/trailers to export by checking the boxes to the left of each line 💡 Tip: To select all items, check the box at the top left of the table

  3. Click on the “Export” button that appears in the toolbar

  4. Choose your export options and confirm

  5. Retrieve your file by download or email
