How to manage the absence/unavailability of your drivers/vehicles in Dashdoc?

In order to plan your transport rounds as smoothly as possible, it is necessary to have a clear idea of the availability of your resources.

Good news! Now you can indicate the absences of your drivers and the unavailability of your vehicleson in Dashdoc.

Register my drivers' absences on Dashdoc

From the "My fleet" > "My drivers" tab, click on the driver who is absent, then create a new absence by indicating:

  1. The type of absence: paid leave, RTT, illness, training, rest or other;

  2. The start and end dates of the absence;

  3. Full day or half day (optional);

  4. Comments (optional).

In the "absences" section of each driver's record, you will find the list of absences entered in Dashdoc.

💡 It is also possible to add an absence directly from the schedule, by right-clicking on a driver's line:

How am I notified in Dashdoc of a driver's absence?

There are different ways to be notified of a driver's absence:

  • In the schedule: Absences are clearly indicated on the schedule

  • In the transport file: When you want to assign a transport to an absent driver, on asked dates/times, you get an alert message:

    ⚠️ Assigning a transport mission to an absent driver is not prohibited by the Dashdoc tool.

  • In the window for adding a new absence: When there are missions previously assigned to a driver, there is an alert when an absence is added to the corresponding slots.

    ⚠️ Adding an absence for a driver with assigned transport assignments is not prohibited by Dashdoc.

Register the unavailability of my vehicles in Dashdoc

Reporting a vehicle's unavailability is similar to reporting a driver's absence.

From the "My fleet" > "My vehicles" tab, click on the relevant vehicle and then create a new unavailability by indicating:

  1. The type of absence: maintenance, rental or other;

  2. The start and end dates of the absence;

  3. Full day or half day (optional);

  4. Comments (optional).

💡 It is also possible to add an unavailability directly from the schedule, by right-clicking on a vehicle line:

How am I notified in Dashdoc when a vehicle is unavailable?

Similar to the absence of a driver, here are the different ways to be notified by the unavailability of a vehicle:

  • In the vehicle schedule: Unavailabilities are clearly indicated.

  • In the transport folder: When you want to assign a transport to an unavailable vehicle, on the planned dates/times, you are notified.

  • In the window for adding a new unavailability: When there are missions previously assigned to a vehicle, an notification is given when an unavailability is added to the corresponding slots:

  • From the transport creation form: depending on the loading and unloading dates entered, an alert is displayed when plates are selected in the resources.

⚠️ Adding an unavailability for a vehicle with previously assigned transport missions is not prohibited by Dashdoc.

General comments

Some alerts are not yet available on Dashdoc:

  • Alert when assigning an unavailable driver/vehicle for multiple transports (Transports in progress tab > Select multiple transports > Schedule > assign a driver).

  • Warning when a transport including a driver/plate with an absence/unavailability is mass duplicated.

Special case of multi-entity planning in extended view, it is not possible to add an absence to a driver who does not belong to the entity to which you are connected:

Export trucker/vehicle unavailabilities

  1. Go to My Fleet > My drivers

  2. Select the driver(s) concerned by clicking on the square box at the beginning of the line

  3. Click on Export absences

  4. Choose mode and period

5. Retrieve your export .

💡 You can find it in the export history by clicking on My exports.

Please note:

  • Export is available for your own drivers, but not for leased drivers.

  • It is also possible to export vehicle unavailabilities

  • When a driver is absent over several months:

Ex: Marc is absent from January 15 to April 20.

In the export for the January period, you'll have Marc start his absence on 15/01 and end it on 31/01 . In February he will be absent for the whole month of February, and the same for March. In April, you'll see 1/04 to 20/04.
